Description

Responsibilities include:
1) Serves as the first line of contact for all visitors coming to the division.
2) Performs administrative duties for the division including, but not limited to, creation of master reports and templates, typing of meeting minutes and department memos, editing of templates, answering the telephone, scheduling appointments, editing calendars, processes department purchase orders, maintaining files and supplies, photocopying, organizing contract mailings, orders supplies, process work orders, and daily retrieve/send the divisional mail from the mail room.
3) Assists the Dean in the tracking of all financial records for the division including the budget, purchase orders, and payroll (staff and students). 
4) Augments and maintains the divisional social media, web pages, intranet pages, and Canvas sites with equality across centers and services.
5) Hire and supervises the division work-study students.
6) Creates and processes all part time divisional contracts.
7) Distributes paychecks to building staff.
8) Submits timesheets for all divisional staff and student workers according to the college schedule.
9) Maintains the division’s master calendar.
10) Maintains the confidential files and data records for the divisional centers, and generates regular reports for analysis.
11) Distributes student progress reports to the Dean and Center Directors.
12)   Responsible for facilitation regular updates to the divisional Google pages and respective time lines.
13) Assists with the scheduling, staffing, marketing, and advertising for the division centers.
14) Coordinates all remote captioning with third party vendor Partners.
15) Coordinates all interpreter requests in collaboration with the Director.
16) Provide captioning for academic purposes using Yuja or other technology as necessary.
17) Assists in all aspects of divisional event planning and scheduling of college-wide events, and submissions to the college activities calendar.
18) Assists with the collection of all Student Success & Retention related data.
19) Assists in the maintenance of all confidential files and data records and generates regular reports for analysis for the Center for Student Success & Retention.
20) Assumes other duties as needed to meet the needs of the Division and the College.

Qualifications

Bachelor Degree 
Experience in administrative office duties
Must be able to relate to college-age students and families effectively
Must be able to work as part of a team
Requires dynamic, outgoing personality
Superior skills in organization & attention to detail

Computer Software Skills Needed:
Advanced expertise in the use of all components of Microsoft Office, analytical software, and daily use of a computer.
Proficient in use of email, social media, web page content, Internet searches, MyEndicott, COGNOS, ICloud, G-Suite, Tutor Trac, Yuja, Camtasia, and e-schedules
